GoHighLevel vs HubSpot in the UK, how a service business should choose

06/11/26 · 8 min read

Choosing between GoHighLevel and HubSpot as a UK service business comes down to the three jobs your CRM has to do every day, not to which one has the longer feature list. If your day runs on fast replies by text, booked appointments and review requests, GoHighLevel usually fits. If it runs on a pipeline that several people work, clean client records and reporting you can trust, HubSpot usually fits. Write those three jobs down first and the choice mostly makes itself.

If you’d rather work it through with someone who sets up both platforms, that’s what we do as a CRM consultant in Essex. Either way, the method below works on your own.

Why feature lists lead you to the wrong CRM

Both tools have hundreds of features. You’ll use a handful every day, and with enough setup both can do almost anything. So “can it do this?” is the wrong test. The useful question is which one does your daily work with the least friction for the people who actually log in, and feature tables can’t answer that.

I’m Luke Stillwell, and I build systems on HubSpot, GoHighLevel, n8n and Claude at 07 Heaven Systems. The pattern I see most often is a CRM bought for its features and used for none of them, while the team drifts back to the inbox and the WhatsApp group.

What picking the wrong one costs you

The licence fee is the smallest part.

  • Time. People type the same details into two places, or skip the CRM and keep notes elsewhere, so nobody has the full picture.
  • Missed work. Enquiries sit unanswered and quotes go unchased, because the system meant to flag them isn’t being used.

The tool is rarely the real problem. Fit is. For a group of fitness studios, we consolidated the CRM onto Mindbody and GoHighLevel, rebuilt the paid social funnel and put automated nurture behind every new lead. Leads rose 67% in six months and the cost of winning each new member came down by around 74%. The difference was a system built around their daily jobs.

GoHighLevel vs HubSpot in the UK | what each is built for

GoHighLevel

GoHighLevel was built for marketing agencies to run on behalf of their clients, which is why many UK owners end up on it through an agency, often under a different brand name. Its strength is speed to lead. Forms, two-way SMS, missed-call text back, calendars and booking, review requests, simple pipelines and landing pages all sit in one login.

Where it’s weaker is reporting depth and sales processes where several people hand a deal between stages. It bills in US dollars, so your cost moves with the exchange rate, and messages and calls are usually charged on top. Check the current position on the GoHighLevel pricing page.

HubSpot

HubSpot is built around the contact record and the pipeline. You can start on the free CRM and add paid hubs as you grow. It’s strong at clean records, multiple pipelines, team visibility and reporting, and it connects to the accounting tools UK firms use, such as Xero.

Where it’s weaker is cost as you scale, because seats, tiers and marketing contacts add up. Price the tier you’ll need in two years on the HubSpot pricing page. And text messaging and review requests aren’t its home ground. They usually need an add-on or an automation layer.

Write down the three jobs before you look at either tool

Step 1 | List what has to happen

Take one normal week. Write down everything that has to happen for a customer to go from first enquiry to paid invoice. Not what you’d like to happen.

Step 2 | Circle the three that hurt most when missed

For most service businesses, the shortlist looks something like this.

  • Replying to a new enquiry before they ring someone else
  • Booking the survey, consultation or first appointment
  • Chasing a quote or proposal that hasn’t been signed
  • Asking for a review once the job is done
  • Showing you on Monday morning exactly what’s in the pipeline

Pick three. If everything matters, nothing gets set up properly.

Step 3 | Describe each job in one line

Write what triggers it, who does it now and what “done” looks like. For example, “Enquiry form submitted, office manager replies, customer has a booked slot.” That line is your test for every tool.

Step 4 | Match the jobs to the tool

Speed and the customer’s phone, such as instant replies, texts, bookings and reviews, point to GoHighLevel. People and records, such as handing deals between staff and reporting you rely on, point to HubSpot.

When your three jobs split

Often they do. In that case, pick the CRM for the job that involves the most people and the most records, then add an automation layer such as n8n for the rest. You can see the same thinking applied to advisers on our professional services page.

Test the three jobs, not the demo

A sales demo shows you the tool at its best, run by someone who uses it all day. That tells you nothing about your Tuesday. Use the free trial or free tier. Send a test enquiry through it and run each of your three jobs end to end. Then hand it to the person who does that job every day and watch. If they need it explaining twice, you have your answer.

UK checks before you sign

  • Consent for marketing. Marketing texts and emails to individuals usually need consent under PECR, so the tool must record where each contact came from and what they agreed to. The ICO’s guidance on direct marketing is the place to check.
  • Your data. Ask each vendor, and any agency in the middle, where your data is hosted, get their data processing agreement on file and set a retention policy. The ICO’s UK GDPR guidance sets out what you’re responsible for.
  • Ownership. If an agency is setting it up, make sure the account and the data are in your name, not theirs.

Common questions

Is GoHighLevel GDPR compliant for UK businesses?

It can be used in a way that meets UK GDPR, but the software doesn’t make you compliant on its own. That comes from how you set it up and run it, starting with the consent and data checks above.

Is HubSpot worth it for a small UK business?

The free CRM covers contact records, a basic pipeline and email tracking, which is enough for many small firms. Paying makes sense when several people work the same pipeline and you need automation between stages and reporting you trust.

Can I switch from GoHighLevel to HubSpot later?

Yes. Contacts and deals move across without much trouble. The real work is rebuilding automations, templates and habits, so expect a project rather than an afternoon, and map your three daily jobs before you move.
